What is VolunteerSolutions?

VMC has been handling volunteer requests from agencies for a number of years. We had an internal database and requests sent by agencies were put into the database. Volunteers had to contact us to get information about volunteering.

In 2005, VMC purchased VolunteerSolutions, an online database that allows agencies to directly maintain their information. It allows volunteers to search the database for opportunities that meet their needs.

A number of volunteer centers in New Jersey are using VolunteerSolutions. This allows agencies to post their volunteer opportunities in one place, with greater exposure. By having direct access to the information that potential volunteers see, agencies can make changes and easily keep the information current.

Agencies can enter information about their agency, including the logo, and post volunteer opportunities. The database allows long titles and descriptions, so it is better to be very descriptive. Bring Sunshine into the life of an Elderly Person gets more attention than Friendly Visitor.

After you log in, you will see a number of tabs at the top of the screen.

Potential volunteers can read the information. After reading the information, potential volunteers can click a button to express interest in this opportunity. This will generate an email to the contact person at the agency.

The database will also send automated emails to the agencies reminding them to update the information. Opportunities not changed after a year will be deleted.

Once this information is posted, VMC will approve it and it will be posted on VolunteerSolutions. In addition, VMC posts the opportunities on www.VolunteerMatch.org, (which a number of corporations in the area use), and promote it in a bi-weekly flyer.

How do I register my agency?

To register your agency and volunteer opportunities, go to: www.volunteersolutions.org/vmcnj/agency/. Under the New Agencies box, click on the Register here link. You will be taken through various screens to add agency information then the volunteer opportunities.

We are a for-profit. Can we register?

We allow for-profits to advertise for volunteers who are directly working with and helping people. For example, we allow for-profit nursing homes to advertise for friendly visitors, but not for answering the phones while staff is in meetings. The volunteers are there to help people, not to replace jobs that paid staff normally handle.

I forgot my password.

Go to www.VolunteerSolutions.org/vmcnj/agency. Click on the link Forgot your password. Enter your agency name and click go on.

If you have not entered a password hint, you will see a screen to confirm that you want to change the password and have the new password sent to the main contact at your agency. The person's name, and second half of the password will be displayed, while the first half of the password will have xxx's instead of the name. If the contact person is no longer with your agency, or you no longer have access to that email account, there is also a link to contact someone on our staff to assist you.

If you have previously entered a password hint, you will be asked to supply that answer and the password will be reset.

After you sign in with the new password, scroll to the bottom of the first page and click in the link change password and change your password to something you can remember.

I cannot log in.

When I logon, I get a message "More than one agency found!"

VolunteerSolutions has data sharing. This allows an agency to register with one volunteer center but have their listings available to potential volunteers in nearby counties.

With data sharing, an agency need be in only one database. All updates, new opportunities, etc posted on that site will be available to all volunteers visiting any of the volunteer center web sites.

Choose one of the agency listings and notify the Volunteer Center with the other listing to delete the agency from their database.

My opportunity was not approved. Why?

Our policy is to promote volunteer opportunities in the community. So, for example, we would advertise for volunteers needed to assist at a fundraiser, we would not for people to attend a fundraising event specifically.

I got an email telling me my listings will expire. What do I do?

Log onto VolunteerSolutions. On the first screen, under tasks, click on each link to update the volunteer opportunities already there. Review the information on each screen, change anything that needs changing and click save and continue. There are a couple of pages for each opportunity. If an opportunity is no longer needed, you can soft delete it. This allows you to easily reactivate it when needed and also keeps the statistics about it.

I received an email with a subject "Your online opportunity listing was modified by a site administrator". What does this mean?

VMC has made a change to your listing. Log onto VolunteerSolutions and select the change log tab to see what was changed - including the old and new data.

I am not receiving emails from VolunteerSolutions.

If you are not getting the emails from VolunteerSolutions, you have two options.

How do I know if anyone is looking at my listings?

To see what kind of response you are getting, click on the Overview tab.

We have our volunteer opportunities on our web site. How do we eliminate the need to update them both on the web site and in your database?

We can supply you with a link to your information in our database, which you can place on your web site. Thus, someone looking at your web site will see your volunteer opportunities. You only need to maintain the information in one place.

Can we log volunteer hours?

For logging volunteer hours, either the agency or the volunteer can post them on VolunteerSolutions. If the volunteer posts them, the agency will need to approve them, and will have access to reports on volunteer hours.

Board Connection

What is Board Connection?

By posting your agency’s information and board needs on this site, potential board candidates can review the information to determine if your agency would be of interest to them.

Board Connection candidates are actively seeking not-for-profit boards on which to serve. These prospective volunteers regularly review agency board profiles, such as yours, and are most attracted to organization profiles that are current and have complete information.

Prospective board candidates fill out a survey and post their resume, providing information about their interests, background and skills.

When a board candidate expresses an interest in your agency, you will receive an email with the candidate’s information and resume. Please respond via email in a timely manner and insure that the information about the candidate is shared/forwarded to the correct contact in your organization, whether it be the Board President, Nominating Chair, Executive Director or Volunteer Director.

How will VMC support your efforts to find new Board Members?

VMC will actively review candidates' information to help match candidates and agencies and will be readily available to facilitate the match and to answer any questions that you may have.

VMC will share information about your agency with prospective board volunteers and display it during VMC’s board training programs and orientations. Please forward 10 copies of your agency brochure(s) to our office at 280 W. Hanover Ave, Morristown, NJ 07960.

Final board determination will always be between the agency and the volunteer.
